6. TERMS AND CONDITIONS
Terms & Conditions for Participants of the MJC
The Terms & Conditions for Participants are valid for every person registered as a regular participant attending the MJC (Muslim Jewish Conference) to be held in Sarajevo, Bosnia, from June 30 - July 5, 2013.
All references to the age of a person, mentioned in this and other conference documents, refer to the age of that person as of June 30th, 2013 (the first day of the conference), unless otherwise specified.
All references to a date or a deadline, mentioned in this and other conference documents, refer to the Central European Time Zone (CET).
All information uploaded or transmitted to the MJC team by the participants will be used only to comply with registration requirements themselves, and will not be used for or in any other manner. Specifically marked information will be published only upon receipt of electronic permission from the participant themselves; participants will be given the option to allow their information to be published when registering for the MJC.
Only fully completed registration forms, received prior to the deadline - April 30th, 2013 - , will be accepted. The conference organizers reserve the right to refuse any applicant for any reason.
To be able to register as a regular participant, individuals must be at least 18 years of age. Participants may be asked to present an official identity card or document, such as a birth certificate, stating their age.
The completed registration must be filled out online or received per e-mail by April 30th, 2013.
All participants will follow the same registration and selection process. Upon receipt of the fully completed registration form and any other necessary documentation, the selection committee of the MJC will make a final decision regarding the acceptance of the participant to take part in the Conference.
Participants must present this registration confirmation at the registration counter as proof of registry.
Notification of cancellation must be made in writing and sent to the MJC Registration Department by email by May 31st at the latest.
If a participant has opted to share contact details, they can opt-out before May 31st by contacting the MJC Registration Department.
Cancellation of the conference
In the event that the conference cannot be held or is postponed due to events beyond the control of the conference organizers or due to events which are not attributable to wrongful intent or gross negligence of the conference organizers, the conference organizers cannot be held liable by participants for any damages, costs, or losses incurred including but not limited to transportation costs, accommodation costs, costs for additional orders, financial losses, visa costs, etc.
Modification of the program
The conference organizers reserve the right to modify the program if necessary, at any time.
MJC Badges and ID
The conference name badge must be worn at all times during the conference. Access to the conference venue can be denied without a proper MJC name badge. The official identity card must be kept available during all times of the conference and you may be asked to present this documentation of your identity at any time.
Letter of Invitation
Individuals requiring an official Letter of Invitation from the conference organizers, for visa or any other purposes, can request one by contacting the MJC 2013 Registration Department.
To receive a Letter of Invitation, participants must first register for the conference, submit any necessary documentation and receive a registration confirmation.
The Letter of Invitation does not financially obligate the conference organizers in any way. All expenses incurred in relation to transportation and or the visa process are the sole responsibility of the participant.
It is the sole responsibility of the participant to take care of his/her visa requirements. Participants who require an entry visa must allow sufficient time for the application procedure (4 to 6 weeks !!!). Participants should contact the nearest embassy or consulate to determine the appropriate timing of their visa applications. All visa applications should be submitted to the authorities as soon as possible after having received confirmation of their participation from the MJC Registration department. Please note that the Visa process can take some time hence due diligence by the applicants is expected.
Participant registration details will be shared with the immigration authorities to assist in the immigration process. However, the conference organizers and/or the MJC 2013 Registration Department will not directly contact embassies and consulates on behalf of visa applicants.
The MJC does not take any responsibility for health and travel insurance.
Written or recorded intellectual property produced during the MJC 2013 whether within the discussion committees or embedded in specific sessions can be used by the MJC team for publishing or to be used in following conferences and/or press releases.
Participants must participate in all workshops, committee sessions and social activities during the MJC. Upon failure to partake, and if a viable excuse is not given, the participant will lose access to his/her lodging. If illness or any other event occurs, which renders the participant unable to attend any Conference event, they are obligated to contact the Registration Department as soon as possible.
Participants are expected and obliged to obey the laws of Bosnia and Herzegovina while participating in the MJC. Participants are personally responsible for all charges and damage to facilities of the conference and social events’ venues.
The MJC does not provide liability insurance for the protection of individuals or groups who participate in the conference.
Each individual and group agreeing to these Terms and Conditions releases and discharges the MJC, its secretariat, and staff jointly and individually from any and all actions, causes of actions, claims, liabilities, costs, obligations and demands, including without limitation attorneys’ fees and expenses for, upon or by reason of loss, damage, injury, or death, which hereafter may be sustained by participating in any activities connected with the MJC. This involves especially compensation, in part or in whole, for losses, damages, injuries or death incurred at or in connection with the MJC.
All offers and information published by the MJC, including but not limited to those on the website www.mjconference.org, might be subject to change without further notice. The MJC reserves the right to terminate any contractual relationships resulting from or related to its offers and information at any given time. The MJC cannot be held accountable for any change in offers and information and excludes any claims possibly resulting from the termination of contractual relationships. The MJC reserves the right to exclude specific individuals from its offered services. The MJC excludes any legal actions on the side of the individual related to a possible exclusion.
The MJC reserves the right to collect data during the conference and social events including but not limited to video footage and photographs without previous/further notice, and to publish these in any source.
The MJC claims copyright on all of the data available on the website www.mjconference.org, including but not limited to the MJC logo, format and screen design of the website, on all other data related to and released by the MJC, and on all contents created during or for the MJC, or those that are submitted to the MJC. The MJC claims copyright on all of its printed material. All rights are reserved.
Smoking, Alcohol and Drug Policy
Participants will not be permitted to smoke inside the conference venue.
Alcohol and drugs are not allowed around or near the conference venue.
Participants found possessing or using illicit drugs, as defined by local federal law, during the conference or at social events will be excluded from the MJC immediately. Any criminal liability lies within the participant's responsibility.
Expulsion From the Conference
The MJC reserves the right to immediately expel participants from both the conference and the conference venue due to unacceptable behavior as defined or interpreted by members of the MJC or in violation of these Terms and Conditions. The Secretariat reserves the right to define appropriate conference behavior and is particularly sensitive to issues involving displays of disrespect to other participants, or the conference staff.
All conference registration materials (i.e. conference badges and placards) must be surrendered to conference staff upon expulsion.
Court of Jurisdiction and Validity of Rules
The Court of jurisdiction for all legal troubles resulting from or related to this agreement and contractual relationships with MJC is Sarajevo, Bosnia and Herzegovina.
In the case that any of the above rulings should become ineffective, all remaining rulings of this agreement remain legally binding.
